1What this app is

The LIS Project Log (updates.listulsa.com) is where the team tracks project work day to day. It has three connected pages:

My List  (/)Your private working list. Only you can see it. This is where you keep everything you're on โ€” quotes, submittals, jobs, follow-ups.

The idea: work private, share deliberately. You keep your own list however you like; the team only sees what you publish, and the meeting only discusses what's flagged or recently active.

2Signing in

Sign in with your company email and password. The login is shared with the bidding dashboard and the quote tool โ€” one set of credentials works on all three apps, and changing your password in any of them changes it everywhere. You do sign in to each app separately (each keeps its own session).

  • First login / temporary password: if your account was set up with a temporary password, the app sends you straight to a change-password page and won't let you anywhere else until you've set your own (minimum 8 characters).
  • Change your password later: go to /change-password while signed in.
  • Sessions last 30 days and renew as you use the app, so on your own machine you'll rarely need to sign in again.
  • If you can sign in but see an empty board, your login hasn't been placed on the field roster yet โ€” ask an admin (see the Admin guide).

3My List โ€” your private board

My List is the homepage. Every row on it belongs to you alone โ€” it's stored on the server under your login, follows you to any device, and no one else can see it, not even admins.

Adding and editing items

  • + Add Project (top right) creates a new row and opens it for editing. Each row gets an ID like 014-26-MS automatically (a running number + the year + your initials, so IDs from different people's lists don't look alike on the Team Board); you can overwrite it with a real job number once the project gets opened.
  • Click any row to open its detail drawer: ID, name, status, due date, sell price, and a running-notes box. Every field saves automatically the moment you change it โ€” watch the Saved dot in the header. There's no save button to forget: closing the drawer (or never closing it) loses nothing.
  • Delete lives in the drawer. Deleting an item also removes its team-board copy if it was shared.

Statuses

My List and the Team Board share one status list โ€” what you pick here is exactly what the team sees, no translation. The status drives which tab a row lives in and when it counts as "closed":

Row colors

Each row carries a colored flag on its left edge (the row itself stays white):

The Team Board and LV Mtg columns

Two columns show at a glance where each item is visible beyond your list:

It's greyed out if your login doesn't have flag rights โ€” or if the item isn't shared to the Team Board yet (share it first; only board items can go to a meeting).

Tabs

  • Active โ€” everything not closed (the default view).
  • โ— On Team Board โ€” the items you've published to the shared board.
  • Meeting Agenda โ€” items you've checked onto the meeting agenda.
  • Working / Submitted & waiting โ€” status buckets.
  • All โ€” full history, sorted newest-first so recent work is on top.

Other tabs sort by due date; clicking a column header re-sorts until you switch tabs. Search always searches all of your projects, no matter which tab is selected โ€” press Esc to clear it.

4Sharing an item to the Team Board

In an item's detail drawer, the Show on team board dropdown publishes that one row to the shared board under your name. Pick a category โ€” Bidding, Pending, Active, or Design โ€” and it appears on /team immediately.

  • It stays linked โ€” in both directions. Edit the private item and the team copy updates by itself; edit the row on the Team Board (you, or an admin) and the change flows back to your My List copy the same way. One row, two views of it. A green โœ“ in the row's Team Board column means it's currently live.
  • Pull it back by setting the dropdown to "โ€” Not shared โ€”". The row disappears from the team board but stays on your list.
  • Closing an item (Completed, Declined, etc.) automatically takes it off the team board โ€” no matter which side the status was set from.
  • If a manager or admin reassigns the owner of a board row, the item moves lists: it leaves your My List (it's off your plate) and appears on the new owner's, still linked.
Your other items stay invisible. Publishing shares exactly one row โ€” never your whole list.

5The Team Board

The Team Board (/team) is the shared picture of what the team has in motion. Every row starts on someone's My List and gets there by publishing โ€” there is no Add Project button on the board itself. Want something on the board? Add it to your list, then share it (see Sharing an item).

Organization

  • Categories / stages: each project sits in a bucket โ€” Bidding, Pending, Not Started, In Progress, Wrapping Up, or Design. The tabs across the top filter by them; Active combines In Progress and Wrapping Up. Each stage has its own color (the legend in the header), shown on the row's left edge; status badges use the same colors when the status names a stage.
  • Status badges: the same single status list as My List (Working, In progress, Submitted โ€“ Waiting on City, Pending, Completed, โ€ฆ) โ€” one vocabulary everywhere. "In progress" and "Wrapping up" also take a percent complete, shown as e.g. In progress ยท 80%. Setting a closed status (Completed, Passed, Declined) on a mirrored row takes it off the board โ€” it stays on the owner's My List under All.
  • Owner filter: the second pill row filters by owner; your own name is pinned first as a shortcut to your projects.
  • Agenda tab: shows every row checked onto the meeting agenda.

Editing โ€” same drawer as My List

Click a row to open its detail drawer โ€” the board edits exactly like My List (the click-a-cell inline editing is gone). Every field in the drawer saves automatically the moment you change it or click away; โœ“ Done just closes the drawer, so nothing is lost if you forget it. Deleting a project also lives in the drawer now.

A project can be edited by its owner or an admin โ€” everyone else can open the drawer but the fields are read-only. Your role shows in the header next to your name.

Edits to a row that came from someone's My List flow back to that list โ€” the board and the owner's private copy are two views of the same row, whichever side the edit lands on.

The Stage and Owner fields in the drawer are the exception to owner-only editing: admins and the managers (Justin, Stetson, Brandon, Bill Dean, Chris) get those dropdowns on every row. Stage re-files the project under a different tab; reassigning the owner moves the item between My Lists โ€” off the old owner's plate, onto the new owner's, still linked to the board.

The LV Mtg checkbox

The checkbox column on the right flags a row onto the Low Voltage Coordination Meeting agenda. It's the same checkbox, in the same last-column spot, on My List. Who can set it is covered under The meeting agenda. The flag stays in sync with the item's My List copy if it has one.

Printing the board

๐Ÿ–จ Print prints exactly what's showing โ€” the current tab, owner filter, and search. Printing the unfiltered All tab warns you first if it would run past ~10 pages.

6The meeting agenda

The agenda page (/agenda) builds a clean, printable one-page agenda for the Low Voltage Coordination Meeting. It is built from exactly two sources: recent activity on the Team Board (LV items with a real status/notes change in the past 7 days) plus anything checked LV Mtg โ€” nothing else feeds it.

The Manager's Meeting agenda is on hold while the app runs LV-only. Its checkbox column and meeting picker are hidden for now and will return when that meeting is turned back on.

How items get onto an agenda

  1. Automatically. Any team-board project in that meeting's division with substantive activity in the past 7 days appears by itself โ€” so Monday's agenda builds itself. "Substantive" means a real change to status or notes; editing the value, due date, or name, reordering, or toggling checkboxes doesn't count. Auto rows carry a chip showing what changed and when (e.g. status, note ยท Wed). Auto-pull only ever looks at the Team Board โ€” though if a My List item is published to the board, a status/notes edit made on the My List side syncs to its board row and counts as that row's activity.
  2. Manually. Check the LV Mtg box on any row โ€” Team Board or My List (it's the same last-column checkbox on both pages, and also lives in the My List drawer). Checked items always appear, regardless of activity. Board first: an item must be shared to the Team Board before it can be flagged โ€” on My List the checkbox stays greyed out until the row shows the green โœ“, and unsharing a row also takes it off the agenda.

Keeping something off

Every auto-suggested row has a screen-only โœ• skip button (owner or admin). Skipping keeps the row off this week's agenda, and it will re-suggest itself on later activity. The toast offers Undo. Manually checked rows can't be skipped; uncheck the box instead.

Who can flag what

  • LV Coordination: the LV team can flag their own items onto it; Brandon can too (the electrical โ†’ LV bridge).
  • Admins can set the flag on any item.
  • Flagging an item onto the meeting is what shares it with that room โ€” attendees see every flagged item even from the other division. This applies on the agenda page only; the Team Board itself stays division-scoped.

Who sits in the meeting

Attendance is separate from flag rights โ€” attendees see everything flagged onto the agenda:

  • LV Coordination: Matt, Justin, Stetson, Brandon, Jeff, Kendall, Kenny, Larry.
  • Admins (including Sherry) see everything regardless; Whitney views and prints the agenda.

Printing

Anyone who can view the agenda can hit ๐Ÿ–จ Print; pick the number of copies in the browser's print dialog. Printing is manual by design โ€” the server has no path to the office printer, so there is no scheduled auto-print.

Private items โ€” a guarantee

Private My List items never reach an agenda โ€” automatically or otherwise. To bring one to a meeting, share it to the Team Board first, then check its LV Mtg box.

7The weekly workflow

Day to day and week to week, the app is meant to run like this:

Put another way: if you keep your notes and statuses honest during the week, Monday's agenda is already written. The checkbox is only for the exceptions โ€” items with no recent activity that still need airtime.

8Who sees what โ€” divisions & roles

Every person on the roster belongs to a division โ€” LV (low voltage) or Electrical โ€” and has a role. Together they decide what you can see and touch.

Division controls visibility only. Edit rights are always owner-or-admin. Your private My List is unaffected โ€” it's yours regardless of division.

9Tips & shortcuts

  • Search is global. On My List and the Team Board, the search box always looks across all projects, whatever tab is selected. On the Team Board, commas search multiple terms at once. Esc clears the box.
  • Dates are forgiving. Type due dates as 4/20/26, 4-20-26, or with a 4-digit year โ€” all work. Or hit the ๐Ÿ“… button next to the due-date field (both drawers have one) to pick the date from a calendar instead.
  • Watch the save dot. Green = saved, yellow = saving, red = the server couldn't be reached and your last change didn't stick. Check your connection and reload.
  • Column headers sort. Click once to sort, again to reverse. Switching tabs resets to that tab's default sort.
  • The chip counts are live. Every tab shows how many rows are in it, so you can see at a glance what's overdue-heavy or waiting.
  • Print what you see. Both the Team Board and this manual print cleanly straight from the browser.

10Admin guideAdmins only

This section only shows for admin logins. It covers what the admin role can do inside the app โ€” account setup, passwords, and anything technical is handled by Matt; just ask him.

Admin Mode โ€” you start in the PM view

Admin logins carry an Admin mode toggle in the header of both pages. It starts OFF on every fresh sign-in: you see and can do exactly what a PM in your division sees โ€” same rows, same edit limits, same dropdowns. That's deliberate, so admins experience the app the way the team does. Flip it to ON (it turns amber) for the full admin powers below; it stays on until you turn it off or sign out.

What being an admin means (Admin mode ON)

  • You see everything. Both divisions, every team-board project, every agenda โ€” no division filter applies to you. (Your own My List is still private to you, and other people's My Lists stay private from everyone, admins included.)
  • You can edit anything on the Team Board โ€” any project, any owner's, not just your own. The header shows admin ยท edits all next to your name.
  • You can reassign owners via the Owner dropdown on any board row โ€” the item moves to the new owner's My List and off the old owner's.
  • You can set the LV Mtg checkbox on anyone's item, in either division. Regular users are limited to their own items (LV team, plus the Brandon โ†’ LV bridge).
  • You can โœ• skip any auto-suggested row on the agenda, not just rows you own.

Running the meeting

Before the meeting, an admin is usually the one who does the final pass: open /agenda, โœ• skip anything not worth airtime, check LV Mtg on anything the 7-day auto-pull missed (including pulling an electrical item across), then hit Print.

When someone needs something you can't do in the app
